Define the surfaces

Name the rooms or elevations and list walls, ceilings, trim, doors and other components separately. Do not assume that a room name includes every surface in it.

Describe the condition

Point out cracks, peeling, stains, soft material and past repair attempts. A coating cannot fix an active leak or restore unsound material.

Agree the finish

Discuss color, sheen, texture and the preparation needed for the result you want. Review a representative sample when appearance is a deciding factor.

Plan the access

Explain occupancy, furniture, working hours and areas that must stay usable. Setup, drying and cleanup need space in the schedule too.

What a written estimate should make clear

The same project description can produce very different bids. Compare the surfaces, preparation and products before comparing the total. A proposal for painting sound walls is a different scope from one that includes removing wallpaper, repairing joints and smoothing whole surfaces.

Ask for repairs and exclusions to be named. If preparation reveals hidden damage, agree how it will be documented, priced and approved before more work is added. That discussion is especially useful around exterior trim, water-stained ceilings and cabinets near plumbing.

Prepare information, not the walls

Gather the building’s approximate age, previous product details if available, known leak history and any relevant property rules. Note furniture or equipment that needs special handling and the rooms or access routes you depend on.

Do not scrape unknown old paint or open damaged surfaces just to get ready for an estimate. Older painted components may need a lead-safe assessment before disturbance. Ask about appropriate certification and work practices where they apply.

For occupied spaces, discuss ventilation and return-to-use instructions. Paint that feels dry may still need more time before washing, heavy contact or normal use. Follow the selected product’s guidance rather than a general cure-time promise.

Keep the project useful after the last coat

Review the finished work against the agreed scope in the lighting and conditions normally used in that space. Record any items to address and ask for the product, color and sheen information. For cabinets, doors and other moving parts, check operation as well as appearance.

Keep the proposal, approved changes and care guidance together. If a stain, crack or peeling area returns, the original preparation and repair record will help explain what should be investigated next. Maintenance is easier when the finish and the underlying repair are both documented.
